The Project Manager is a leader in a fast paced, creative environment that is focused on communication and integrating management processes into the creative endeavors of Meow Wolf. This Project Manager will work closely with outside contractors and vendors to ensure their contracts fall within the applicable scope and budget for the project and that the vendors are meeting Meow Wolf expectations. Project Manager will also work closely with internal team to manage a technically complex component of an upcoming exhibit. Strong technical background and work with external creative partners/vendors is imperative for success in this role. Experience in managing teams of all sizes as well as tracking budgets and deadlines needed. Proficiency with Microsoft Excel, Google Sheets required and experience with scheduling and project management software and Gantt charts required. Experience writing RFP’s and Scopes of Work required. We are looking for a creative and dedicated individual who will fit with our collaborative culture.

Job Description

This is a specific position within the Las Vegas project team that is a cross between Project Manager and Vendor Manager and specifically will be focussed on some highly technical vendor partnerships. The ideal candidate will have an understanding of complex technical systems, have experience in managing outside creative partners and vendors and be able to work well within a team.

Job Requirements

  • 5+ years experience as a Project Manager
  • Strong technical acumen
  • Ability to keep cool during times of pressure
  • Experience collaborating with diverse teams
  • Google Suite, Microsoft Office proficient
  • Gantt and project management softwares experience a plus
  • Lift up to 50lbs
  • Hold a valid driver’s license
  • Bachelor’s Degree or better

Job Responsibilities

Project Manager Scope

  • Collaborate with artistic directors, artists, production, fabrication teams and external contractors to ensure quality of projects, timeline and deadline delivery and excellent execution
  • Set deadlines and manage team to successful completion of short and long term goals
  • Create and manage project budgets
  • Tracks all expenses as they occur
  • Reports on project process and reforecasts as needed
  • Meet budgetary objectives and make adjustments to project constraints based on financial analysis
  • Create and manage multi-phase project timelines from concept design through production install
  • Collaborate with production heads to create schedules and production teams
  • Build and maintain gantt charts and tasks in project management software (Wrike)
  • Work with production teams to ensure deadlines are met
  • Work with artists and Exhibitions team to help find creative solutions to problems as they arise
  • Use and continually develop leadership skills
  • Assist in contract negotiation
  • Maintain thorough communication across production team
  • Experience managing location based entertainment projects in the production phase a plus

Vendor Manager Scope

  • Assist in contract negotiation
  • Write and manage RFP (Request for Proposal) process for vendors
  • Manage communication and relationships with tech-based external contractors to oversee project milestones, timely completion, and internal review process
  • Set deadlines and manage vendors to successful completion of short and long term goals
  • Coordinate between MW Tech Team and Project Management team to ensure smooth communication related to vendors
